Protect Patients with Proactive Coronavirus Communication

March 12, 2020

MOS, Patient Engagement 3 Minute Read

The World Health Organization (WHO) has declared COVID-19 a pandemic. To ensure your patients are protected and well-informed, proactive communication is key, and time is of the essence. Our Patient Communications Gateway offers the ability to provide expedited outreach to your patients on an ad-hoc basis. Our services allow you to transmit messages via mailing, email, automated phone calls, in real-time, with prioritized setup so that you can be operational quickly without additional staff requirements.

Here are a few key COVID-19 communications we suggest prioritizing:

  • Informational Advisories

Let your patients know you are thinking of them and their health by sending them up-to-date informational advisories regarding COVID-19 symptoms and local updates based on the CDC COVID-19 website and your state and local health department websites.

  • COVID-19-Related Policy Changes

Ensure your patients understand any changes to your policies as a result of COVID-19. For example, many hospitals and health clinics are encouraging patients with non-urgent issues to receive care by telephone. Additionally, many hospitaland Long-Term Acute Care centers are asking visitors with flu-like symptoms to refrain from visiting patients.

  • COVID-19 Care Protocols

Educate patients on your COVID-19 screening protocols, isolation methods, emergency staffing coverage plans, strategic relationships with community partners, increased use of telephone triage, and any other special precautions your facility is taking to prevent the spread of COVID-19.

  •  Outgoing Message Script

Consider changing your hospital or health clinic’s outgoing phone message, automated appointment reminders, and patient recalls so that patients understand your COVID-19 protocol and know where to get the care they need. And don’t overlook using our postal mail services since many older patients respond best to that method.

  • Ad-Hoc Emergency Announcements

As the COVID-19 emergency evolves, ensure your practice is poised to:

  • send immediate notices to your patients related to local changes in combating the pandemic,
  • easily reschedule patients who are experiencing flu-like symptoms, and
  • quickly alert patients in the event that your office is short-staffed or closed due to an emergency

PCG can assist you with sending mailings, emails, text messages, and calls with priority service so these crucial messages get to your patient population as soon as possible. We also make it easy to target a specific subset of your patient population—for example, elderly patients who are at a higher risk.

Contact Micro-Office Systems if your facility needs assistance communicating to your patient population regarding COVID-19. Our tools can help you reach your patients through multiple channels significantly faster than traditional methods. Together, we can help stem this outbreak.
